Strategic Goals for Print Services

To facilitate cost savings and improved productivity directly to Botany members and associates, we provide centrally managed print services.

As a long term benefit, this service aims to reduce overall energy consumption while simultaneously offering users a high quality and efficient alternative to personal desktop printers.

Cost Recovery Formula

The instruction from the Botany Administrative Director for print services cost recovery is that we should be revenue neutral. Therefore, only the bare costs associated with print services are transferred to end users. There are three components to this monthly cost:

  • Equipment rental costs for the multifunction printers
  • cost per printed page as billed by Xerox
  • paper cost

Base on usage data from Fiscal Year 2011, our monthly printing volume (including photocopies) is approximately 13,000 pages. By dividing our monthly cost by monthly printing volume, we charge 7 cents for each black/white printout and 12 cents for each color printout. As a policy, we review the price each year to ensure that end users enjoy the best price. Note that whenever the monthly printing volume increases, the cost per page to users decreases (assuming no changes to equipment rental costs), which means that if more users adopt the department print service in favour of their own desktop printers, we can provide better prices for everyone.

Application Procedure

To use the department’s multifunction printers, you must first complete the following application form and have it signed by your supervisor/departmental administrator. This form must then be submitted to the Botany main office.

Upon approval, an account will be created for you using your 7 digit UBC employee number as the account ID. You will be required to type in this account ID before printing or copying from these multifunction printers. All account IDs must then be linked to one or more speed charts that your supervisor or departmental administrator has authorized you to use.

Before using the multifunction printers, you will also have to install and configure print drivers on your desktop PC or laptop. We synchronize user accounts with all our multifunctional printers, so your account may be used to access any device listed below.

Functionality: This multifunction printer can perform black&white and colour printing, black&white and colour copying, and scanning to email. There is no Fax function. The device supports letter and legal size paper. To print on tabloid size paper, please use the ColorQube 9203.
